  • Solution: Set up an entire Point Of Sale (POS) system that integrates with Xero, POS system now captures all payments, reconciles cash on hand, looks after inventory and provides the correct GST treatment of all sales. All bills are taken a photo of or sent directly to Hubdoc which automatically extracts all the data, saves a copy of the Tax Invoice and matches off the payment to the credit card and bank feed.
  • Outcome: The owner now has saved multiple hours per day trying to reconcile their accounts, the BAS data is all ready to go in the file at the end of the Month so the client is now on time with lodging BAS statements thus avoiding nasty ATO penalties (they already take enough of your hard earned money don’t give them more through late penalties) The business has also experienced growth as their staff can take orders and payment faster along with accepting a multitude of payment methods from cash to credit cards including American Express they have grown the number of sales per day.

Case Study 2: An e-commerce store selling globally

  • Challenge: Managing multiple Shopify stores, multiple currencies, distribution centres, payment methods and high currency conversion fees, no idea what gross profit they had.
  • Solution: Utilizing Xero’s open API and multicurrency ability we managed to track sales across 14 currencies. Using a plug-in we managed to have daily reconciliations sales, transaction fees and currency conversion fees across all currencies. Implemented a commercial FinTec solution that integrates into Xero and Shopify called Airwallex to allow for reduced currency conversion fees and another payment gateway to accept credit cards at a much lower cost. Integrated stock-on-hand figures from third-party logistics data for their various distribution centres to get an accurate figure of gross profit per currency.
  • Outcome: Providing the owner with ease to do their BAS based on GST treatment between local and overseas. Able to enhance pricing to maintain a consistent markup across currencies including converting pricing between 3 currencies to find a true cost and sales price. Enhanced reporting to see where is profitable, where is not profitable and where to focus marketing expenses too.

Case Study 3: A Boutique recruitment agency

  • Challenge: Internal bookkeeper spending 40 hours per week and sometimes overtime to keep on top of invoicing, payroll for 10+ employees, difficulties lodging Single Touch Payroll (STP), tracking income to pay commissions, complicated commission payments, multiple weekly bill payments, difficult to run reports, manual bank reconciliations and entry of bank statements and credit card statements taking up a long time.

Used Xero payroll’s commission function to calculate automatically taxes on any commission payments rather than a 15-step manual process based on the ATO website. Gave clients better-looking invoices with automatic follow-up and more payment options like credit card payments.
  • Outcome: Enhanced teamwork, and quicker decision-making from much better reports. Cut bookkeeping time from 40+ hours per week to 16 hours per week. Gave the owner greater confidence in bill payments, fewer double payments and other errors. Faster commission calculations and payments to staff making staff happier and motivated to put in more work.
